Membership management for swimming academies
Swimming academies enrol students, not members, and they enrol them in batches that start and end on real dates. Renewal is the moment a family decides whether the next batch happens — which makes the fortnight before a batch ends the most commercially important fortnight you have.
What usually goes wrong
The four things that cost academys students
Batches ending faster than the paperwork
Every enrolment has a hard end date, and the dashboard counts down to it in days. The batch finishing on Friday is visible on Monday.
Parents needing notice, not a surprise
Reminders go out several days before the end — you choose how many, and you can set a longer notice period on longer batches.
"Students", not "members"
Tell Member & Co. you run a swimming academy and every screen says students and academy. Nobody has to mentally translate gym vocabulary all day.
Levels priced differently
Each level is its own plan with its own duration and price — beginner, intermediate, advanced squad — and past enrolments keep the price they were sold at.
Vocabulary
It says students, not members
Choose Swimming Academy when you set up and every screen, button, empty state and toast adopts the language your academy actually uses. You can change it later without touching a single record.

Questions
- Can I record a parent's contact rather than the child's?
- Yes. The email and phone on a record are simply where reminders and calls go, and there is a separate emergency contact field.
- What if a student repeats the same level?
- Renew them onto the same plan. It creates a new enrolment period; the previous one stays in their history rather than being overwritten.
- Do I have to record fees?
- No. Payment tracking is optional and can be switched off entirely without losing anything you have already recorded.
