Membership expiry reminder examples that don't read as spam

Renewal reminder templates for seven days, three days and expiry day, plus the rules that keep them feeling like a courtesy rather than a campaign.

A renewal reminder has one job: make sure nobody lapses by accident. It is not a marketing email, and the moment it behaves like one — subject line urgency, a countdown, an offer — it gets filed with the marketing emails, which is to say unread.

Four rules before any template

  • From a person or the business, never a no-reply address. People reply to these. Let them.
  • State the date. The single most useful piece of information is when the membership actually ends.
  • One action. Renew. Not renew, and follow us, and read the newsletter.
  • No discount by default. Discounting a renewal that would have happened anyway is expensive, and it teaches people to wait for the offer.

Seven days out

Informational. Nothing is wrong yet.

Subject: Your membership ends on 14 September

Hi Arjun — a quick note that your quarterly membership runs to Saturday 14 September. If you would like to carry straight on, let us know or catch the desk on your next visit. Nothing to do otherwise.

Three days out

Slightly more concrete. Still no pressure.

Subject: Three days left on your membership

Hi Arjun — your membership ends this Saturday. We can set the next one up in a minute at the desk, or reply here and we will have it ready for you.

On the day

The last automated one. Make it easy to act on today, and make the consequence plain without being dramatic.

Subject: Your membership ends today

Hi Arjun — today is the last day of your current membership. Renewing keeps everything exactly as it is. If you would rather pause for now that is completely fine — tell us and we will keep your history on file.

That last clause matters. Giving someone permission to pause makes them far likelier to tell you what is actually going on, and a member who pauses deliberately comes back much more often than one who disappears.

After expiry, send this by hand

Do not automate anything past the expiry date. A post-expiry message has to acknowledge that they have gone, and an automated one that fails to reads badly. Write it yourself, once, a week or two later:

Hi Arjun — noticed we have not seen you in a couple of weeks and your membership has run out. No pressure at all, but if you were planning to come back we would love to have you. Anything we could be doing better?

The question at the end is not a formality. It is the cheapest customer research you will ever run.

Choosing a cadence

Three touches is plenty for a monthly membership: seven days, three days, and the day itself. Longer plans deserve longer notice — fourteen and seven days out gives a family time to plan around a term.

In Member & Co. the schedule is set once for the business, individual plans can override it, and any single member can be opted out. Each reminder is sent once per membership period and never repeats, so a retried job cannot email somebody twice.
